We are looking for a Proposals Coordinator to join ICR.

The Proposals Coordinator will provide general support to the Commercial Team, preparing, processing and coordinating proposals within client deadlines supported by the business units and sales teams. This role will report to the Commercial Manager.

The main tasks include, but are not limited to:

  • Preparation of accurate and definitive Technical & Commercial Proposals in accordance with defined scopes of supply.
  • Working in SAP system to process and prepare sales quotations.
  • Ensure that the ICR Proposals Process is adhered to at all times.
  • Ensure that proposals/quotations are reviewed and approved in a timely fashion, from both a technical and commercial perspective.
  • Liaise with clients during the proposal process / organise and attend meetings if required.
  • On receipt of client purchase orders, process Sales Order on SAP and issue to client.
  • Support with commercial and contractual tasks to support wider Commercial Team.
  • Support with tender and pre-qualification activity.
  • Key Skills, Attributes and Experience:
  • Demonstrable track record and experience of preparing proposals and/or tenders
  • Understanding of Commercial requirements and good Commercial Acumen
  • Ability to manage multiple work scopes on a day-to-day basis
  • Ability to perform effectively under pressure
  • Ability to take on wide ranging tasks
  • Experience of using CRM systems, preferably SAP Business One
  • Competency and skill using MS Office packages, particularly formatting and stylising documents
  • Proactive, energetic and enthusiastic individual with a ‘can-do’ attitude who can use initiative to manage proposals and prioritise own workload
  • Ability to proactively solve problems and to think laterally, whilst working under pressure
  • Effective communication and interpersonal skills
  • Excellent organisation and time management skills
  • Ability to effectively work within a small close-knit team
  • Excellent command of English language both written and oral

We are looking for a Commercial Advisor to join ICR, based in Aberdeen. – Fixed-Term (12 month) Vacancy

The Commercial Advisor will support the Commercial team, preparing and co-ordinating tenders and proposals within client deadlines supported by the business units.

This role will report to the Contracts and Commercial Lead.

The main tasks include, but are not limited to:

  • To create and manage commercial / technical proposals in SAP;
  • To ensure that the ICR Proposals and Tender Process is adhered to at all times;
  • In conjunction with the engineering team, prepare technical and commercial proposals
  • Actively lead the co-ordination of the tenders process from receipt to submission with support from BU Leads, including undertaking all Client portal submissions as required;
  • Host tender kick off meetings, create an action log and ensure response timelines are actively managed and adhered to
  • Support with compilation cost estimates;
  • To liaise with clients / organise and attend meetings during the proposal and tender process;
  • To ensure that tenders and proposals are checked and approved in a timely fashion / from both a technical and commercial perspective;
  • Support with internal governance relating to delegation of authority compliance
  • On receipt of client purchase orders, complete Sales orders in SAP system;
  • Accountable for the completion and response issuance for any business pre-qualification process;
  • Actively manage and track updates in various client based online vendor management systems (Avetta, Ariba, Sequal, FPAL, Achilles UVDB, ISN etc)
  • Team working, helping each other, and standing in for each other, as required and planned;
  • Provide guidance and support development of junior members of the Commercial team
  • Undertaking any other activities and support as determined by line manager.

Key Skills, Attributes and Experience:

  • Knowledge and experience of preparing and drafting commercial / technical proposals
  • Experience of co-ordinating and preparing tender responses mandatory
  • Experience in co-ordinating, completing and submitting prequalification responses essential
  • Experience in reviewing Contract terms and conditions advantageous
  • Proficient in the use of SAP and Microsoft packages;
  • Strong communication skills;
  • Ability to effectively work within a small close-knit team;
  • Ability to manage multiple work scopes on a day-to-day basis;
  • Ability to take on wide ranging tasks;
  • Ability to prioritise workloads.
