Site Coordinator - Houston

We are looking for a full time Site Coordinator to join our Sky Futures team in the USA, Houston.

The Site Coordinator will support the Operations Team in arranging and coordinating all aspects of the Sky-Futures Projects. To ensure that the Drone Pilots are in place at the right time with all required equipment and information.

The main tasks include but are not limited to the following:

  • Update and maintain all relevant spreadsheets ensuring all data entry is accurate and up to date.
  • Arrange travel and accommodation for operations teams/drone pilots.
  • Liaise with all stakeholders including travel providers, drone pilots, operations teams etc.
  • Maintain Operation Logs.
  • Update systems and trackers.
  • Manpower Planning.
  • Manage Personnel Logistics.
  • Manage freight logistics and exports of equipment.
  • Prepare work packs and deployment packs.
  • Collation of timesheets, expense claims etc.
  • Ensure all training and certification of pilots is up to date and matrix adhered to.
  • Provide general administration support to the Operations Team.

The key responsibilities of the role include:

  • Ensure all technical queries and requests raised by the operations teams are promptly dealt with.
  • Ensure adequate resource and competency of personnel to carry out project requirements, whilst ensuring compliance with the Company Business Management System.
  • Ensure pilots have all the equipment and information to enable them to carry out the project timely and efficiently.
  • Maintain and improve appropriate technical procedures and work instructions.
  • Ensure that relevant invoices and variation order requests are submitted promptly to clients.
  • Liaise with various departments within the Company and clients to ensure the smooth flow of information for operation planning purposes.

The successful applicant will have the following:

  • Knowledge of SAP is preferable, but not essential
  • Strong organisational and planning skills, preferably within personnel and materials logistics
  • Problem resolution and process familiarisation
  • Analysis and decision-making skills
  • Excellent interpersonal skills
  • Strong ability to multi-task
  • Excellent administration skills, including report writing.
