Receptionist & Office Administrator - Aberdeen

We are looking for a full time Receptionist & Office Administrator to join ICR, based in Aberdeen.

The main purpose of the role is to provide a professional welcome service to visitors as a first point of contact at site.  The role reports to the Planning & Facilities Coordinator.


The main tasks involved in the role are:

  • Ensuring the reception area is always a welcome and engaging area for all visitors to the office
  • Maintaining the security pass system and ensuring all visitors have their passes displayed
  • Ensuring the cars parked on site are parked according to ICR requirements (reverse parked) and sourcing the owner of any not parked accordingly
  • Answer all calls, diverting where necessary to the correct members of staff
  • Ordering of stationery and office consumables
  • Raising the necessary PR’s/PO’s relating to the facility
  • Dealing with incoming and outgoing mail
  • Ensuring the kitchens are kept clean, tidy and stocked
  • Preparing meeting rooms in advance of meetings/training
  • Ordering food and beverages for meetings/training
  • Assisting the Travel Coordinator during busy periods, absence or annual leave
  • Assisting the Facilities Coordinator with any ad-hoc duties, as required
  • Any other ad-hoc administration for the business


The successful applicant will have:

  • Experience in a similar role
  • Good communication skills
  • Comfortable working to deadlines
  • Able to multi-task
  • Willingness to take on additional duties
  • Travel booking / coordination experience
  • Familiarity with Word, Outlook, PowerPoint, Excel
  • SAP experience preferable
