We are looking for a full time Personnel Logistics and Travel Coordinator to join the team in Aberdeen.
The Personnel Logistics and Travel Coordinator will be responsible for the coordination of offshore personnel, including the logistics of ICR employees across all Business Units and in line with Company procedures and processes. Responsible for coordinating the Company’s travel requirements in line with Company procedures and processes. The role reports to the Operations Support Manager.
The main tasks involved in the role are:
To ensure the logistics of all offshore personnel is coordinated in line with Operational procedures
To manage and coordinate ICR personnel for offshore and site activities. This will include personnel on offshore contracts as well as those able to go offshore / site from the workshops.
To manage all mobilisation requests
Selection of personnel in conjunction with the business units
To ensure the personnel tracker is kept updated daily
To maximise utilisation of personnel / tracking of utilisation
To liaise with clients for flight times / inductions
To ensure correct visas / inoculations are in place prior to travel
To ensure workpacks are provided from business units / pre-job briefings
To ensure workpacks are returned to business units post job completion
To support in the preparation and provision of monthly reporting
To manage and plan all travel requests in line with the ICR procedures and in a timely manner
To arrange all required visas in line with ICR travel procedures
To advise on inoculations required
To maximise cost savings for travel
To provide cover and support for other roles within the Operational Support team
The successful applicant will have the following responsibilities:
Work together with the Operations Support team to provide the planning of operations and personnel logistics, to ensure a smooth and efficient process is followed within the team.
To coordinate and arrange travel for ICR employees, cost effectively and in accordance with ICR Procedures and Processes.
The successful applicant should have the following:
Experience working with travel management companies and on-line booking tools
Strong organisational and planning skills
Problem resolution and process familiarisation
Self-starter with a strong sense of initiative
Excellent interpersonal skills
Strong ability to multi-task
Excellent administration skills
Significant Microsoft knowledge and experience, as well as managing databases
Ability to work deadlines in an accurate, consistent and structured manner
Ability to demonstrate understanding of HSEQ safe working practices and procedures and their implementation
Ability to follow/comply with procedures and recognised working practices
