Operations Manager - Aberdeen

We are looking for a full-time Operations Manager to join the team in Aberdeen.

The Operations Manager has responsibility for the operational personnel (Offshore, Workshop & Stores) based in Aberdeen. The role reports to the Chief Operating Officer.

There are 5 key areas the Operations Manager is responsible for, along with the Operations Support team. The following outlines the five key areas for delivery, but are not limited to:

Personnel

 – overall responsibility for the logistics of ICR offshore personnel, along with Personnel Logistics Coordinator

  • To manage and coordinate ICR personnel for Workshop, Stores, Offshore and site activities. This will include personnel on offshore contracts as well as those able to go offshore / site from the workshops
  • To manage all mobilisation requests
  • Selection of personnel in conjunction with the business units
  • To ensure the personnel tracker is kept updated daily
  • To maximise utilisation of personnel / tracking of utilisation
  • To liaise with clients for flight times / inductions
  • To ensure correct visas / inoculations are in place prior to travel
  • To ensure workpacks are provided from business units / pre-job briefings
  • To ensure workpacks are returned to business units post job completion
  • To manage the timesheets for approval as well as for invoicing
  • To provide monthly reporting of offshore personnel and logistics

Planning

- overall responsibility for the planning and management of operations
  • To liaise with the business teams for offshore / site manpower planning requirements / update the relevant planning tool and database
  • To liaise with the business teams to establish and prioritise jobs (deliverables and dates) required from workshop and stores
  • To assign resources to ensure activities are delivered and on time
  • To ensure the workshop and stores plan is updated daily
  • To provide monthly reports

Facilities

– overall responsibility for Facilities within Aberdeen, supported by Planning & Facilities Coordinator
  • To manage day to day maintenance of the facilities at H2, Aberdeen
  • To manage the statutory inspections register
  • To manage contractors / ICR personnel assigned for repairs
  • Overall responsible for the facilities budget
  • To provide monthly reports

Travel

– overall responsibility for travel within ICR, leading the travel booking team 
  • To manage all travel requests in line with the ICR procedures
  • To ensure all travel is planned and arranged in a timely manner in accordance with ICR procedures
  • To arrange all required visas in line with ICR travel procedures
  • To advise on inoculations required
  • To maximise cost savings for travel
  • To provide monthly reports

Workshop & Stores

– overall leadership and responsibility for Workshop & Stores Operations in Aberdeen
  • To manage and coordinate all workshop and stores activities
  • To manage all workshop and stores requirements to ensure that all work is carried out as per requirements and meets company client deadlines
  • To maximise utilisation of personnel
  • To ensure all work is carried out in accordance with company processes and procedures
  • Ensure all tooling and equipment is maintained to company standards and is used safely
  • Ensure good safe working practices in the workshop are maintained at all times and comply with company HSEQ procedures
  • Maintain all records in accordance with company process/procedures/databases/ERP system
  • Maintain open and clear communication with internal and external customers

Overall       

  • To lead, manage and support the Operations team
  • To work with and mentor your team – developing them to fully meet their potential. Identifying the training needs for your employees. Supporting development needs and opportunities.
  • To set an example at all times, displaying and driving the ICR Safety behaviours in line with ICR procedures. Following all procedures and initiatives.
  • To follow all ICR processes and procedures including the reporting of all incidents immediately.

  • Experience of leading team
  • Demonstrable experience in delivery of business operations
  • Strong interpersonal skills
  • Customer focused
  • HSEQ leadership qualities to drive safety culture
  • Demonstrable track record at problem-solving and working to tight deadlines
  • Ability to manage multiple priorities on a day-to-day basis
  • Ability to interact with people at all levels of the organisation and external contacts
  • Experience in using a range of Microsoft software, SAP and databases
  • Strong organisation skills
  • Excellent verbal and written communication skills and the ability to build relationships internally and externally
  • Sets high standards in quality of work and excellent attention to detail
  • Flexibility and the willingness to contribute to new ideas and processes
